How do I track and resolve maintenance tickets?

Log repair/maintenance issues, assign them, and move them through to resolved — across all your properties.

  1. 1

    Open the Maintenance board

Go to Operations → Maintenance. Pick a property from the selector if you manage more than one. Tickets are shown as a board with three columns: Open, In Progress, and Resolved.

  2. 2

    Log a new ticket

Click New ticket. Fill in a Title, Description, Priority (Low/Medium/High/Urgent), optionally the Room/Bed it concerns, and Assign to contact — a dropdown of that property's Maintenance Contacts. Add photos and a due date if you have them, then click Create ticket.

If the contact you want isn't in the dropdown, add them first under Operations → Maintenance Contacts.

  3. 3

    Move a ticket forward

Drag a card to the next column, or open it and use the Status field inside — the dropdown at the bottom of each card is the easier option on a phone/tablet where drag-and-drop doesn't work. Click a card any time to add a comment, attach a resolution photo, or write a resolution note.

  4. 4

Marking a ticket Resolved needs approval access

Only an owner, manager, or a delegate with approve-level Maintenance access can set a ticket to Resolved — the option is greyed out for anyone else. If you're a delegate and can't mark something resolved, move it to In Progress and flag it to an owner/manager instead.

There's no delete button — a resolved workflow gone wrong is cancelled from the backend, not removed, so tickets stay in your history.
