How do I reserve a bed for a guest who hasn't moved in yet?

Hold a bed against an advance payment before the guest actually moves in.

    Start a reservation

    Go to Guests and click Reserve with advance (next to the regular Onboard guest button). Unlike normal onboarding, this lets you pick a bed that's currently occupied — useful when you're holding the next occupant's spot before the current guest has actually left. The move-in date is optional here since they haven't moved in yet.

    Confirm the reservation

    Click Reserve guest, then in the Confirm reservation dialog set the Rent cycle, Payment timing, and the Advance amount paid. Click Confirm & reserve. The guest is created with status Reserved and the bed is marked Reserved too — it's held out of your vacant count, but doesn't count as occupied either.

    Move them in when they arrive

    Open the reserved guest's profile and click Mark as moved in. Set the actual move-in date (and change the bed only if the one you reserved is no longer available), then fill in rent/deposit paid as usual and click Confirm move-in. This is also where you record their first rent/deposit payment.

    The advance isn't applied automatically

    Important: the advance amount you collected at reservation is not automatically credited toward rent or deposit when the guest moves in — it stays on their record as a separate historical figure. When you fill in rent-paid/deposit-paid on the Confirm move-in step, you need to account for the advance yourself (e.g. reduce the amount still due by what they already paid).

    Cancelling a reservation

    If the guest backs out before moving in, open their profile and click Cancel reservation, then confirm. This releases the bed back to normal availability.
